Personnel Manager FAQ
Answers to the most common questions we get from symphony and regional orchestra managers.
How does this interface with payroll processing?
Back On Stage features built-in payroll integration designed for music professionals. The system tracks specific services, and custom rates for each musician on your roster. After the concert, you can generate invoices and send automated payouts directly to your roster via PayPal or Venmo without ever leaving the app.
How are instrument "doubles" handled?
Roles in Back On Stage are 100% customizable. If you need to replace someone who doubles, you simply create a specific role (e.g., "Clarinet / Bass Clarinet Double") and assign a dedicated call list of musicians who possess those exact capabilities to that role.
How does it handle multi-day projects or partial availability?
You can outline every individual service (rehearsals, soundchecks, performances) in the master gig schedule. If a musician is only needed for specific services, you can customize their individual call times before sending the gig offer, ensuring they're only booked for the parts of the schedule relevant to them.
Does it keep track of services or hours? Can I print a roster list?
The system logs all services and which musicians were booked for each, for accurate payroll processing. You set a fixed 'rate' payable to each musician for the service initially, but if worked hours change during the gig, you can quickly pay rates with a 'bulk edit rates' tool. You can also view or export a live, up-to-date roster list at any time for your stage manager, conductor, or front-of-house staff.
How easy is it to quickly rearrange a call list?
Itβs as easy as drag-and-drop. Before you hit "Auto-Book", you can easily reorder musicians on any call list in seconds to accommodate last-minute preferences or budget constraints.
Does it allow for multiple call lists (e.g., Local vs. Travel)?
Absolutely. You can create separate call list templates (e.g., "Orchestra - Local" vs. "Orchestra - Travel"). You can also use our smart Member Roles to organize your roster (e.g., "Violin - Local" vs. "Violin - OOT"), ensuring you don't waste time contacting out-of-town musicians for local-only gigs.
Do players have their own portals to update availability?
Yes! Every musician gets a free personal portal and they can sync their bookings out to their personal calendars. Back On Stage doesn't burden musicians with the need to constantly update their availability, but instead uses it's efficient "Auto-Book" system to fill your roster on actual gig dates only, respecting everyone's valuable time.
